Job Description:
Aerovel (the Airbus Helicopters Flexrotor Program) is looking for a Program Management Coordinator to join our Program Management Team based in Bingen, WA.
You will be part of a team focusing on the day-to-day execution, coordination, tracking of program deliverables, and administrative tracking of internal tasks and milestones related to Flexrotor programs. This role ensures internal cross-functional alignment, maintains program documentation, and assists Program Managers with ensuring the on-time delivery of program deliverables by focusing on data accuracy and deadlines for task completion within internal departments.

The Airbus Helicopters Flexrotor Program offers one of the most advanced small tactical unmanned aerial systems (STUAS) with vertical take-off and landing (VTOL). It can be used day or night by US and allied forces for a diverse range of intelligence, surveillance, target acquisition and reconnaissance (ISTAR) on land and at sea.

Your Challenges:
Primary Responsibilities:
Stakeholder Coordination and Task Management: (50)
Coordinate with internal cross-functional teams (e.g., Engineering, Quality, Procurement, Production) to actively track, monitor, and ensure timely completion of assigned work packages and program deliverables.
Assist Program Managers in driving internal teams to meet scheduled deadlines, serving as a critical point of contact for execution status.
Support internal team members to understand their scope of commitment, inform of status and next steps, and have access to current schedule (SPI) and budget (CPI) data.
Maintain comprehensive and accurate program documentation, meeting minutes, action item lists, and change logs.
Focal point for gathering data and ensuring information flow within the Flexrotor team.
Administrative and Reporting Support: (25)
Support the creation of detailed program/project schedules and budgets by gathering inputs from functional departments.
Track budget expenditures and work with functional leads to verify cost inputs.
Prepare documentation, reports, and presentations for regular internal Staff Meetings and Program Reviews.
Assist in monitoring and reporting on the Schedule Performance Indicator (SPI) and Cost Performance Indicator (CPI) by maintaining accurate data logs.
Program Documentation and Compliance Support: (15)
Assist in the interpretation of contractual requirements and document tracking for new proposals and existing programs.
Support the Program Manager in coordinating with support functions (Contracts, Legal) to ensure internal procedural compliance.
Maintain a repository of program metrics and support analysis of performance indicators related to task execution.
Risk and Change Documentation (10)
Document and track program risks, issues, and change requests identified by the Program Management team.
Facilitate internal meetings focused on tracking risk mitigation tasks and change implementation.

High school degree or equivalent.
Minimum one (1) year of experience in project coordination, project management support, or an administrative role in a technical environment.
Less than 10 Domestic Travel involved
Must be a US Person under ITAR definition (U.S. Citizen, green card holder or person covered under our existing ITAR license).
Proven ability to manage detailed documentation and administrative processes. Strong organizational skills and attention to detail. Ability to coordinate tasks across multiple internal departments. Financial awareness to support basic cost tracking and reporting. Proactive approach to tracking deliverables.
Ability to communicate clearly in verbal and written form in English.
Ability to facilitate information flow between internal teams.
Excellent Microsoft Office suite (Word, Outlook, PowerPoint, and Excel for tracking). Basic familiarity with ERP (Enterprise Resource Planning) systems and professional scheduling concepts/tools is required.
Preferred:
Bachelor’s degree
Experience supporting hardware, services, or support programs; Flexrotor or similar UAV focus; Experience working within cross-functional teams / matrix organizations.
Project Management training/certification (e.g., CAPM)
Google Suite experience

Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings. Daily.
Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms. Daily.
Speaking: able to speak in conversations and meetings, deliver information and participate in communications. Daily.
Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts. Daily.
Carrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs. Daily.
Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs. Daily.
Pushing / Pulling: able to push and pull small office furniture and some equipment and tools. Daily.
Sitting: able to sit for long periods of time in meetings, working on the computer. Daily.
Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving. Daily.
Standing: able to stand for discussions in offices or on the production floor. Daily.
Travel: able to travel independently and at short notice several times per month.
Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces. Daily.
Personal Protective Equipment required: Required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection, Respirators/Masks, and/or Protective Gloves as required by site and/or customer site
Administrative position only PPE required: Steel-toed shoes are required for all shop floor visits, appropriate hearing/eye protection may also be required when visiting the shop floor.

Hourly Range:
Pay range based on the required profile: $25.22 - $41.27/hour. Actual minimum and maximum may vary based on geographic differential. Individual pay is based on skills, experience, and other relevant factors.
